Booking Process: Step-by-Step Guide
The Evolvi system is an internet based UK rail online booking tool which is both easy to use and intuitive. Generally, people who book online using Evolvi require no formal training as it is a simple point and click system with fully documented help pages available online for each step of the booking process. Users access the Evolvi system with a unique username and password that is supplied electronically when a user is added to the system.
Once signed into Evolvi, the booker starts the booking process by either clicking on the ‘Plan Your Journey’ button on the Welcome Page or by selecting 'make a booking' from the drop down menu under the 'Booking' tab at the top of the screen.
This then opens a second page of the booking process, where details of the journey to be booked are entered.
Users can either opt to enter the details in full in the blank boxes or use the icons to select the appropriate station. Other criteria, such as date and time of travel, whether it is a return or single journey, and any other journey preferences, such as changing at a particular station are inputted by either using the drop down arrow keys or by clicking on the relevant icon.
The system is set to display the fastest service for the chosen journey however, this can be overidden by clicking either the 'Direct Services' or 'Other Service' buttons as appropriate. Once all areas have been completed, click on the 'Timetable and Fares Seach' button.
With Evolvi, up to eight passengers can be booked on one booking, these can be a combination of both adults and children and details are simply entered into the relevant boxes. Evolvi will then automatically apply any applicable fare discounts to fares shown on the 'Fares/Availability' page of the booking process.
To view both First and Standard class fares select 'Any' in the class of travel box, or use the drop down key to select to view either First or Standard class fares only. It is also possible to book passengers who have railcards, such as Young Persons, Senior Citizens etc by simply clicking 'Yes' against the railcard option and selecting the relevant rail card type from the drop down menu. Evolvi will automatically apply appropriate railcard discounts to fares shown on the 'Fares/Availability' page.
This page of the booking process displays all of the possible fares in ascending price order and in real-time. The radio button under a particular train time indicates the availability of that fare on that service. A view option is provided for details of any changes and the train operator. CO2 emissions for the journey and comparisons against other modes of transport are also displayed in the view option.
Earlier and later buttons are provided to allow simple searching for other services and fares. Additionally an option is provided to compare single fares as the combination of a restricted single outbound fare with a flexible inbound represents a large opportunity for fare savings.
Clicking on the ticket name delivers a simple plain English description of the ticket and any applicable restrictions. Users are therefore empowered with the ability to make an informed purchasing choice of the most economical and suitable fare for their journey. Trains to be booked are selected by simply clicking the radio button under the train time and clicking on 'next'
Three travel policy options can be invoked at this stage of the booking process:
1. Passenger is forced to buy the lowest fare for the train time selected
2. Passenger can buy a more expensive ticket, but must provide a reason
3. Passenger is unrestricted and can purchase any fare shown
These policies can be applied to First or Standard Class fares, with the option to force Standard Class only travel.
If option 2 is selected as the policy, an exception report is immediately generated within the MI and the reason given is captured.
After selecting the appropriate train times, the next part of the booking process enables seats to be reserved on the chosen trains, providing that the selected trains are reservable services. Use the drop down keys to make specific choices or simply hit proceed and the system will automatically select and reserve seats.
Traveller details are now entered by completing the blank boxes. If Evolvi has been set up to capture cost centre information at the time of booking the relevant boxes must be completed at this stage. Evolvi can be set to capture up to six fields of cost centre information, customisable on a per client basis and any information entered automatically transfers to the online MIS reports. A summary page is now displayed. This gives the booker the opportunity to re-check the details of the journey and review the full ticket restrictions and terms by clicking the black down arrow.
If you have set Evolvi to apply a commission rebate or transaction fee, these charges will be displayed along with the price of the ticket and will be applied at the point of sale.
The booker must confirm that they have read and accepted the restrictions and terms and conditions by clicking the 'Agree' button and then finally clicking on 'Accept Booking' to complete the transaction.
The booking process is now finalised and full details of the booking are displayed on the Booking Confirmation page. Click the 'View Printable Document' tab to display a PDF version that can either be printed off or e-mailed. The booker will also receive an automated email giving a summary of the journey booked.
