Travel Policy Compliance

Evolvi offers a sophisticated raft of travel policy compliance tools and associated "out of policy" reporting.

A client organisation may define a number of Travel Policy Groups within which individual users of the system are placed. Three policy options may be defined and associated to these:

1. Passenger is forced to buy the lowest fare for the train time selected.
2. Passenger can buy a more expensive ticket, but must provide a reason.
3. Passenger is unrestricted and can purchase any fare shown.


These policies can be applied to First or Standard Class fares, with the option to force Standard Class only travel.

Typically, an organisation will have a number of users that are enabled to access first class travel and others to whom this is denied. In the latter case first class travel options would not be displayed during the booking process.

An organisation may mandate that when a booker does not select the lowest fare available, normally for reasons of travel flexibility etc, they are required to provide a reason from a drop down list justifying the choice of the more expensive ticket. These reasons can then be reported in the system's online MIS suite along with pricing comparisons for the lower fare that could have applied and that for the ticket type actually selected.

Travel Policy
The page above shows where a policy group is created. The corporate client defines the parameters for the policy group and assigns it a title. An organisation may create as many policies as are appropriate for its needs. The attributes that will apply to individuals' bookings that sit within the group are carried forward into the booking process.
